Tips for Reducing your Bookkeeping Fees

Many of our clients are concerned about how to reduce their bookkeeping fees. At Imprest, we are committed to giving personal attention in the most cost effective manner.

We offer a free initial consultation to get you started and really take the time to get to know your business. This means that transactions are entered correctly the first time - and that means that it takes less time to prepare financial reports and taxation returns at the end of the year – saving you $$$ off your accounting fees.

Aside from these issues, there are many other ways that you can help to reduce your bookkeeping bill and ensure that you are getting the best value for money from your bookkeeper.
▪ Get organised
If you don’t want to spend your hard earned money paying someone to sort through and categorise your paperwork; you will need to be organised. It doesn’t matter whether your system is in a shoe-box, a filing cabinet, or on a computer system, as long as it is logical and easy to follow. Once you have a system you will find that it is very easy to maintain and saves an enormous amount of time.

We recommend that you use folders and keep the following records.
- Correspondence / Notes File
- Bank Statements
- Bills to be Paid
- Paid Accounts (Bills which have been paid)
- Asset File – copies of original purchase
- Leasing file – for equipment rental, etc.
- Insurance file – containing any insurance
- Statutory File – containing statutory returns, taxation issues etc.

Of course, if you just can’t find the time to organise your paperwork – that’s fine too. It’s one of the advantages of having a service tailored to you – you get to choose!
Be prepared for your appointment
Try to organise your appointment at a time / day when you will be available to answer any questions and review the reports with your bookkeeper.

Have all the information ready and ensure that all the forms and equipment needed is available.
Maintain your equipment / software
If your preference is for an onsite bookkeeping, it will be up to you to maintain your equipment and keep all your software up to date. Time spent downloading updates or problem solving hardware issues may not be the most productive time for your bookkeeper.

Your bookkeeper can explain what equipment and/or software is needed and, of course, you always have the option of having your books prepared off-site – saving you the cost of maintaining expensive computer equipment.
Keep a list of questions handy
It will help if you have a notebook ready to job down any questions that come up - or to list the tasks that you want done. Also, if your accountant has given you any notes or feedback be sure to pass this on to your bookkeeper. Good communication will help to ensure that we are keeping on track of your needs.
