MYOB has the ability to automatically alert you and remind you when certain tasks or processes need to be completed. These alerts and reminders appear in your To Do List which is a great tool to help manage your business.


How do I open the To Do List?

From the Command Centre, click the To Do List button located along the bottom-left.



You can activate a special preference to make the To Do List open automatically each time you open your company file:

1. Go to the Setup menu and choose Preferences.

2. Click the Windows tab and mark the "Display To Do List When Starting MYOB Premier/MYOB" option.

3. Click OK to save this change in your preferences.

Tabs in the To Do List

Along the top of the To Do List there are a number of tabs relating to different areas of activity in your business.

You can always get more information about the different tabs and functions of the To Do List by clicking the Help button in each of these tabs. The button is context sensitive which means clicking it will display information specific to the area of the program you are using at the time you click the button. It provides clear, easy to understand instructions that enable you to quickly move forward when you are uncertain about a function or a process.

Invoices, Bills , Payments and Discounts

Based on the customer trading terms and payment due date information that is stored against the invoices you raise, the A/R to do list will show sales you have made for which payment is overdue.

You can then easily select all or a sub-set of these customer transactions and when you click the Mail Merge button, you can select a Personalised Letter to automatically generate reminder letters for these customers.

To select transactions/customers mark them in the column at the right.

Like the A/R To Do List, the other tabs also give you an opportunity to action listed items in some way from the To Do List itself. For example, the A/P To Do List which shows overdue Supplier bills, enables you to select all or some of these and then record Pay Bills transactions.

The Expiring Discounts tab is a great way to help reduce business costs by taking advantage of any early payment discounts offered by your suppliers. The system will list any such discounts that are soon due to expire.

The accuracy of the information appearing in the A/P, A/R and Expiring Discounts tabs of the To Do List relies on the trading terms information associated with your customers, suppliers and individual transactions.

Inventory and Order Fulfillment

You can have the To Do List warn you if stock levels for any given line of inventory you build in-house have reached critically low levels. This is based upon the information you have set in the Auto-Build tab of the Inventory Item card. You can then mark these items and click the Auto-Build button to increase your stock levels.


Contact Management

You can use the Contact Alert tab of the To Do list to remind you to follow up that sales lead from last month or any other such situations where you want to be prompted to contact a customer, supplier or customer.

For example, it may be that some of the employment conditions your organisation offers may change following an employee's first anniversary or other period of time. You can use the Contact Alert to notify you when the period of time in question has elapsed.

The entries that appear in this list are based upon Contact Logs entered through the Contact Log tab of each Card.
